How To Share Screen on Teams

Microsoft Teams is one of the most advanced business communication platform by Microsoft allows users to communicate with their teams. It is also a video conferencing platform, allow you to make a secure video call with your team members. Apart from that, you can also share your screen with your team members on Microsoft Teams.

Screen sharing is one of the most useful feature. Screen sharing allows you to explain your thoughts to others. Most video conferencing apps like Google Meet, Zoom, and Skype allow users to share their screen with other members.

How To Share Screen on Teams

You have to start a video meeting with your members to follow the steps. So if you are not doing a video conference, try to create a new one temporarily with your team members.

First of all, open your Microsoft Teams app on your computer > login to your Microsoft Teams account.

Then click on join a meeting or create a new meeting with your team.

Once you are in a meeting, click on the ‘Present’ icon.

Now you have to select the window that you want to share with other users.

And that’s it!

The selected window is now being shared in the meeting and other team members can see it. You can identify a shared screen with a red border. Note that the shared screen becomes your main screen.

How to stop screen sharing on PC

It is very simple to stop screen sharing in Microsoft Teams. All you have to do is, press the same Present icon, you used to share your screen.

Share Screen on Android or iPhone Using Microsoft Teams

Open the Teams > join a meeting > click on the 3-dot icon > click on Share.

Choose which screen to share with your team and share your documents.

When you share the screen, you have to select ‘Start Broadcast’ and ‘Start now’, respectively for iOS and Android.

That’s it!

To stop screen sharing, simply click on ‘Stop Presenting’.

Things you should keep in mind when sharing your mobile screen

  • Note that all your notifications, calls, and messages will be visible to other members. So it is advisable to put your phone on DND mode.
  • Your entire screen is visible to attendees, including your alarm, reminders, etc.
  • Your keyboard is also visible, so do not log in to your personal accounts, including social media, banking.
  • One of the advantages of sharing a screen document with others is that your colleagues who are not in the same room as you can view the document on their screens. This can help you gather information faster. If you are a Team leader, your subordinates can also view the documents and review the information.

Note: Do not give control of your screen to individuals whom you don’t trust.

Tips for Screen Sharing in Teams

All the Team members should be able to understand the document properly. There should be proper formatting so that they can easily find any information. It would be even better if you use bullets and numbers.

How to give control when sharing the screen

Click on the present screen to share your screen. (make sure that another person already joined the meeting)

Once you are into the meeting, click on “Give Control” > select the person with whom you want to give control and it’s done.

To take permission, simply click on “take back control”.
